1. Policy Statement

The NT Seaford Association is committed to ensuring the safety and wellbeing of all its members, volunteers, and those attending its events and activities. Although the Association’s activities are primarily social and educational, we recognise the importance of creating a safe, respectful, and inclusive environment for everyone.

2. Scope of this Policy

This policy applies to:
• All NT Seaford Association members
• Committee members and volunteers
• Visitors and guests at Association events

3. Safeguarding Principles

We are committed to:
• Promoting a welcoming and supportive environment
• Preventing harm, neglect, or abuse of any kind
• Responding appropriately to any concerns raised
• Treating others with dignity and respect

4. Definitions

Safeguarding in this context refers to the steps we take to promote the welfare and protection of members, particularly adults who may be vulnerable due to age, illness, disability, or other circumstances.

Adults at risk may include people who:
• Are elderly and frail
• Have physical or cognitive impairments
• Are experiencing temporary illness or reduced capacity

5. Roles and Responsibilities

• The NT Seaford Association Committee is collectively responsible for the implementation of this policy.
• All members and volunteers are expected to:
◦ Help maintain a respectful and supportive environment
◦ Be alert to any concerns regarding the safety or wellbeing of members
◦ Report any concerns promptly to the Committee

6. Procedure for Reporting Concerns

If any member has a concern about the wellbeing of another member or notices inappropriate behaviour at an event:

  1. Remain calm and act with discretion
  2. Make a note of relevant details (e.g., what was observed or said)
  3. Report the concern to a member of the Committee as soon as possible
  4. In cases of immediate danger, contact emergency services (999)

The Committee will discuss the concern confidentially and decide on appropriate action, which may include contacting relevant authorities or support services.

7. Confidentiality and Record-Keeping

• Concerns raised will be handled sensitively and confidentially.
• Information will only be shared with those who need to know in order to take appropriate action.
• Any written notes or reports will be securely stored by the Committee.

8. Code of Conduct

All members and volunteers of the NT Seaford Association are expected to:
• Treat others with kindness, courtesy, and respect
• Avoid any behaviour that may be perceived as abusive, discriminatory, or inappropriate
• Respect personal boundaries and privacy
• Report any concerns about conduct or wellbeing

9. Review of Policy

This policy will be reviewed every three years by the Committee or sooner if there are any incidents or changes in best practice that warrant an update.
